Why do inquiries go cold, and how can a small team follow up faster?

Inquiries usually go cold because they arrive in too many places and nobody owns the reply. One intake point, clear stages and an automatic acknowledgement fix most of it.

The short answer

Most lost leads aren't rejected; they're forgotten. A call goes to voicemail, a DM sits unread, a form lands in an inbox nobody checks on weekends.

Three common gaps

  • Too many doors: phone, email, forms, three social inboxes, with no single list.
  • No owner: everyone assumes someone else replied.
  • No reminder: a quote is sent and never followed up.

A simple fix

Route every inquiry into one pipeline with stages such as New, Contacted, Quoted, Won and Lost. Add an instant acknowledgement so the customer knows you received it, and a reminder if a quote hasn't been answered in two days.

Example

A moving company receives a quote request on Saturday night. The customer gets an immediate 'we've received your request' message, and on Monday morning the lead is at the top of the New column with a reminder attached.
